Registration & Program Policies

Studio policies governing registration, participation, safety, cancellations, student release, media permissions, and Petites Étoiles Atelier programs.

GENERAL STUDIO POLICIES

Arrival, Pickup & Release

Drop-Off & Pickup

Petites Étoiles Atelier is responsible for students only after they have arrived at the designated program location and been accounted for by the instructor.

For multi-day youth programs, a parent or legal guardian must sign the student in in person on the first day. This first-day sign-in confirms the student's registration information, authorized pickup persons, and any independent-release permission provided during registration.

For subsequent days of the same program, parents and guardians do not need to complete a separate daily sign-in. The instructor will take attendance at the beginning of each session.

Students should arrive no more than 10 minutes before the scheduled start of class unless other instructions have been provided in advance.

At the end of class, students who are not authorized for independent release will only be released to the parent or guardian listed on the student's registration, an adult specifically listed as an authorized pickup person, or another adult whose pickup authorization has been communicated directly to Petites Étoiles Atelier by the student's parent or legal guardian.

Petites Étoiles Atelier may request photo identification before releasing a student when the instructor does not personally recognize the pickup person or when identity needs to be confirmed.

A student may not provide their own verbal authorization for an unlisted person to pick them up. Pickup changes must be communicated directly by the parent or legal guardian whenever reasonably possible before the scheduled pickup time.

Students will not be released to an unauthorized person.

Late Pickup

Parents and guardians are expected to arrange pickup promptly at the scheduled end of the program for students who are not authorized for independent release.

A student is considered late for pickup 10 minutes after the scheduled end time unless a different pickup arrangement has been approved in advance.

If a student has not been picked up, Petites Étoiles Atelier will first attempt to contact the primary parent or guardian. If that person cannot be reached within a reasonable period, the emergency contact(s) listed on the student's registration may be contacted. The student will remain with the instructor in an appropriate location permitted by the host venue while reasonable attempts are made to arrange pickup.

Because programs are often held in rented facilities with scheduled reservation times, late pickup may interfere with venue closing times or the studio's obligation to vacate the space.

Occasional unavoidable delays should be communicated as soon as possible. Repeated or substantially late pickup may require an alternative pickup arrangement before the student can continue participating and may result in discontinuation of future participation if the studio cannot safely supervise the student or comply with venue requirements.

Independent Release / Student Self-Release

Students ages 12 and older may leave the program independently at the scheduled end of the session when their parent or legal guardian has provided written permission through the student's registration. Independent release is optional and is entirely at the parent or guardian's discretion.

For multi-day programs, the parent or legal guardian must still complete the required in-person sign-in on the first day.

For an independently released student:

  • the student must check out directly with the instructor before leaving;
  • independent release applies only at the scheduled end of the program unless an early departure has been separately authorized;
  • the parent or guardian accepts responsibility for the student's transportation and supervision after release; and
  • Petites Étoiles Atelier's responsibility for supervision ends once the student has checked out and left the designated program area.

A parent or guardian may revoke independent-release permission at any time by contacting Petites Étoiles Atelier.

Petites Étoiles Atelier may require adult pickup instead when circumstances make independent departure inappropriate or unsafe, including significant weather, a venue emergency, illness, injury, or another situation requiring direct transfer to a responsible adult.

GENERAL STUDIO POLICIES

Health, Safety & Accessibility

Medication

Petites Étoiles Atelier does not routinely administer, dose, or store prescription or over-the-counter medication for students. Parents and guardians are responsible for arranging routine medication needs before or after class whenever possible.

Students may carry necessary emergency or rescue medication, such as an inhaler or epinephrine auto-injector, when permitted by their parent or legal guardian and consistent with applicable venue rules.

Parents and guardians should disclose medication-related information necessary for safe participation, including information about emergency medication the student may be carrying. Petites Étoiles Atelier cannot guarantee medical monitoring or medication administration during class.

In a medical emergency, Petites Étoiles Atelier will take reasonable emergency-response steps, contact the student's parent/guardian or emergency contact, and seek emergency assistance when appropriate.

Illness & Health Safety

Students should not attend when experiencing symptoms of a contagious illness or when otherwise too unwell to participate safely and comfortably.

Parents and guardians should keep a student home for symptoms such as fever, repeated vomiting or diarrhea, a contagious illness, significant respiratory symptoms, or another condition that would make participation unsafe for the student or others.

If a student becomes ill or injured during class, Petites Étoiles Atelier will provide reasonable basic assistance within the instructor's level of training and will contact the parent or guardian when appropriate. More urgent circumstances may require contact with an emergency contact or emergency medical services.

A parent, guardian, or authorized adult may be required to pick up a student early if the student becomes too ill to continue, experiences an injury requiring further evaluation, develops symptoms that may pose a health concern to others, or cannot safely remain in the program.

Petites Étoiles Atelier does not provide medical diagnosis, treatment, or ongoing medical supervision. Missed sessions because of illness remain subject to the applicable attendance and refund policy.

Accessibility & Accommodation

Petites Étoiles Atelier welcomes students with a range of learning styles, communication needs, sensory needs, mobility needs, and other accessibility considerations.

Parents and guardians are encouraged to share accommodations or support needs that may help a student participate safely and successfully.

Petites Étoiles Atelier will make reasonable efforts to provide appropriate classroom accommodations when they can be supported within the program format, available staffing, instructional environment, and rules or physical limitations of the host venue.

Examples may include adjusted seating, additional processing time, simplified or repeated instructions, sensory considerations, breaks when appropriate, alternate ways of participating in an activity, or other reasonable classroom supports.

Because programs are taught in small-group settings and may take place in rented community spaces, the studio cannot guarantee every requested accommodation or provide individualized medical, behavioral, or one-on-one support beyond what can reasonably be managed within the class. If an accommodation cannot be safely or reasonably provided, the studio will communicate with the parent or guardian whenever possible before the program.

Emergency & Registration Information

Registration for minor students may require emergency-contact information, authorized pickup names, and disclosure of severe allergies or critical medical conditions that instructional staff should know about.

Parents and guardians are responsible for keeping this information accurate and current throughout the program.

Allergy Information

Families should disclose severe food, environmental, or other relevant allergies through the student's registration information when the information is necessary for safe participation.

For the 6-Session Themed Series, if another enrolled student has a severe, life-threatening airborne allergy, the studio will notify families in that class by email before the first session so appropriate precautions can be taken.

Host venues may also maintain their own food and beverage restrictions, which participants are expected to follow.

GENERAL STUDIO POLICIES

Media, Materials & Personal Belongings

Photo, Video & Artwork Use

Petites Étoiles Atelier may photograph or record classroom activities and student artwork for documentation, educational, and promotional purposes only when the student's parent or legal guardian has provided permission.

Parents and guardians may choose from the media-permission options provided during registration.

When permission is granted, approved material may be used on:

  • the Petites Étoiles Atelier website;
  • the Petites Étoiles Atelier Instagram account, @petites.etoiles.atelier;
  • the Petites Étoiles Atelier Facebook page;
  • printed flyers, brochures, or promotional materials;
  • classroom or program displays; or
  • portfolios or examples of student work documenting Atelier programs.

Petites Étoiles Atelier will not publish a minor student's full name alongside their photograph or artwork without separate parent or guardian permission.

Parents and guardians may allow:

  • photographs or video in which the student is identifiable;
  • photographs showing only hands, artwork, or non-identifying classroom activity; or
  • no photography or video of the student.

Permission to photograph or share student artwork is treated separately from permission to photograph or record the student. Declining either type of permission does not affect a student's ability to participate.

A parent or guardian may revoke future photo, video, or artwork-use permission by contacting Petites Étoiles Atelier. Revocation applies to future use whenever reasonably possible but may not require removal of material already printed, published, or distributed before the request was received.

Personal Belongings & Art Materials

Students should bring only personal items needed for the program unless different instructions are provided in advance.

Petites Étoiles Atelier may provide art supplies, tools, worksheets, kits, or other instructional materials. Unless otherwise stated, take-home kit materials belong to the student, while shared classroom tools and supplies remain property of Petites Étoiles Atelier.

Students are expected to use materials responsibly, follow instructor directions for safe use, and not remove shared studio or venue materials from the classroom.

Personal electronics, including phones, tablets, headphones, and gaming devices, should remain put away during instruction unless the instructor permits their use as part of an activity or accessibility-related need.

Students are responsible for keeping track of personal belongings. Petites Étoiles Atelier is not responsible for lost, misplaced, stolen, or damaged personal items unless the loss or damage results directly from the studio's negligence.

If a student intentionally or recklessly damages Atelier property, another student's property, or host-venue property, the parent or guardian may be contacted and may be responsible for reasonable repair or replacement costs consistent with applicable studio policies.

GENERAL STUDIO POLICIES

Venue & Communication

Venue Rules

Petites Étoiles Atelier programs may take place in rented classrooms, meeting rooms, libraries, recreation centers, or other facilities not owned or operated by Petites Étoiles Atelier.

Students, parents, guardians, and accompanying adults are expected to follow host-venue policies while on the property. These may include requirements related to food and beverages, room access, building hours, parking, noise, shared spaces, safety procedures, and prohibited items or activities.

Petites Étoiles Atelier may enforce venue rules when necessary to maintain permission to use the space and support a safe and respectful class environment.

The studio does not control operation of the host facility and is not responsible for unrelated venue services, staffing, building access, parking availability, or circumstances outside the studio's control.

If a venue changes its rules, closes unexpectedly, becomes unavailable, or requires relocation, Petites Étoiles Atelier will communicate resulting program changes as soon as reasonably possible.

Parent & Guardian Communication

Parents and guardians are responsible for providing accurate and current contact information during registration.

Petites Étoiles Atelier may use this information for registration confirmations, class reminders, schedule or location changes, weather or facility closures, urgent pickup or safety concerns, and other information necessary for participation.

Parents and guardians should monitor the email address and phone number supplied during registration before and during the program. For urgent same-day concerns, the studio may contact a parent or guardian by phone or text when appropriate.

Families should notify the studio as soon as possible regarding changes to contact information, absences, late arrivals, pickup changes, or other time-sensitive matters.

Petites Étoiles Atelier is not responsible for missed communications caused by outdated contact information, full voicemail boxes, blocked messages, spam filtering, or failure to monitor the contact methods provided.

PARTICIPATION

Behavior, Code of Conduct & Right to Dismiss

Petites Étoiles Atelier is a shared creative space. Students are expected to treat instructors, peers, studio materials, and host-venue property with respect.

Ages 10 and Up

For ordinary disruptive behavior such as repeatedly talking over instruction, failing to follow studio guidelines, or disrupting other students, the general progression is:

  1. First occurrence — verbal warning.
  2. Second occurrence — second verbal warning.
  3. Third occurrence within a single session — parent or guardian notified at pickup; excessive disruption may result in early pickup during that session.

Belligerent or unsafe behavior may result in contact with on-site facility security and/or local law enforcement as appropriate to stabilize the situation, followed by contact with the parent/guardian or listed emergency contact.

A verbal or physical altercation requiring security or law-enforcement intervention may result in immediate removal from the remainder of the course. Tuition for remaining sessions is forfeited and non-refundable.

Ages 4–9 — The Little Characters Party

A formal multi-strike system is not used for a short session with very young children. Redirection is used first. If redirection is unsuccessful, the parent or guardian will be involved directly and immediately.

Belligerent, unsafe, or fighting provisions still apply if a situation genuinely escalates to that level.

Adult & 21+ Programs

Adult programs have a social, peer atmosphere. The studio does not police ordinary mature humor or adult conversation that is not targeted at, or made at the expense of, another attendee. The standard is targeting and impact.

Ordinary social behavior requires no intervention. Conduct that crosses the room standard but is easily corrected may receive a brief redirect. More serious unsafe, belligerent, or fighting behavior follows the same escalation standards described above.

PROGRAM-SPECIFIC POLICIES

Registration, Attendance & Refunds

The following terms vary by program format. General studio policies above continue to apply unless a program-specific term states otherwise.

Weekly Youth Course — Ages 10–17

Program Format

Petites Étoiles Atelier provides a 90-minute instructional art course. It is a non-custodial enrichment program, not a licensed childcare or daycare facility.

Cancellation & Refund Deadlines

  • 14 or more days before the first class: full tuition refund.
  • 7–13 days before: the supply-kit fee is non-refundable; the remaining tuition balance is refunded. The take-home kit remains the student's property and is made available for pickup.
  • Less than 7 days before, or after the course begins: non-refundable and non-transferable.
  • Minimum enrollment: if the cohort does not meet its operational minimum 14 days before the first session, the course is cancelled and registered families receive a full refund.

Weather or Facility Closure

When a youth weekly-course session is cancelled because of weather or facility closure, the schedule moves forward by one week and an additional class is added after the originally scheduled final session so all eight sessions can be completed. Because the instructional time is rescheduled rather than eliminated, no cash refund is issued for that rescheduled session.

Weekly Adult Course — Ages 18+

Cancellation & Refund Deadlines

  • 14 or more days before the first session: full tuition refund.
  • 7–13 days before: the supply-kit fee is non-refundable; the remaining balance is refunded.
  • Less than 7 days before, or after the course begins: non-refundable and non-transferable.
  • Minimum enrollment: if the cohort does not meet its minimum 14 days before the first session, the course is cancelled and registration is fully refunded.

3-Day Studio Intensive

Cancellation Request Procedure

Cancellation requests must be submitted in writing to Petites Étoiles Atelier's business email. The date and time the request is received determines which cancellation tier applies. Requests made by other means are not effective until received at the business email.

Cancellation & Refund Timeline

The periods below refer to calendar days, not business days. Refunds are calculated using the amount actually paid, including any Early Bird discount applied at registration.

  • 14 or more calendar days before Day 1: full refund.
  • 7–13 calendar days before Day 1: refund reduced by the material-kit fee disclosed at registration; remaining registration balance refunded.
  • Less than 7 calendar days before Day 1, or after the program begins: non-refundable and non-transferable.

Material Kit Fee & Unclaimed Kits

The material-kit fee is disclosed on the applicable program registration page. For an eligible 7–13 day cancellation, the reserved kit may be picked up during scheduled program hours on Day 1. Kits not collected by the end of Day 1 will not be stored and may be returned to studio inventory. No additional refund is issued for an unclaimed kit.

Absence, No-Show & Early Departure

Failure to attend, late arrival, early departure, or missing one or more days generally does not create a refund or prorated tuition because the student's seat and materials have already been reserved.

Minimum Enrollment

If the cohort does not meet the studio's operational minimum 14 calendar days before Day 1, the program will be cancelled and registered families will receive a full refund of the amount paid.

Studio Cancellation

If Petites Étoiles Atelier cancels the entire program before it begins, registered families may accept a rescheduled date if one is offered or receive a full refund.

Weather, Facility Closure & Circumstances Beyond Studio Control

The studio will first make reasonable efforts to reschedule affected instructional time. If rescheduling is not reasonably possible, the studio will provide a refund or, with the family's agreement, a studio credit for the cancelled instructional portion.

The calculation may exclude materials or other nonrecoverable program components already provided to or reserved for the student.

Registration Transfers

A registration may be transferred to another eligible student only with prior studio approval when the request is received at least seven calendar days before Day 1. The replacement student must meet program requirements and complete required registration information before attending.

Transfers are not guaranteed and may be declined when materials, roster limits, venue requirements, or other program considerations make a transfer impractical. Registrations are non-transferable within seven calendar days of Day 1 or after the program has begun.

Refund Processing

Approved refunds are returned to the original payment method. Processing time may vary depending on the payment processor or financial institution.

When the studio cancels a program, the family receives a full refund and Petites Étoiles Atelier absorbs the original processing fee. When a customer cancellation qualifies for a refund, no separate processing-fee deduction is applied beyond the tuition and material terms described above.

6-Session Themed Series — Ages 12–17

Petites Étoiles Atelier provides a 90-minute themed instructional art course held weekly across six sessions. It is a non-custodial enrichment program, not a licensed childcare or daycare facility.

Cancellation & Refund Deadlines

  • 14 or more days before the first session: full tuition refund.
  • 7–13 days before: the disclosed material-kit fee is non-refundable; the remaining balance is refunded and the kit remains available for pickup.
  • Less than 7 days before, or after the series begins: non-refundable and non-transferable.
  • Minimum enrollment: if the cohort does not meet its threshold 14 days before the first session, the series is cancelled and registration is fully refunded.

Single-Session In-Person Workshops

This category includes Roll Your Realm, The Little Characters Party, Adult 21+ Specialty workshops, and other single-session in-person Petites Étoiles Atelier pop-up events.

Materials

Programs may include studio-supplied materials or may use a bring-your-own-tools format. The applicable format is identified at registration.

Personal Equipment

For bring-your-own-tools formats, participants are responsible for the personal equipment they bring. The studio is not responsible for ordinary loss or damage to personal tools or belongings except as otherwise required by applicable law.

Cancellation & Refunds

  • 48 or more hours before the event: full refund.
  • Within 48 hours of the event, or after the event begins: non-refundable and non-transferable.

Weather & Facility Closure

If the session is cancelled because of weather or facility closure, registrants will be offered either transfer to the next scheduled applicable pop-up date or a full refund.

STARLIGHT ARCHIVIST — VIRTUAL MASTERCLASS SERIES

Cancellation, Refund & Participation Policy

This policy applies to registrations for the Starlight Archivist Virtual Masterclass Series offered by Petites Étoiles Atelier LLC.

Registration Scope

Starlight Archivist is a monthly series of twelve standalone workshops. Registration is for the specific scheduled occurrence selected at checkout only, not for the full twelve-workshop series. Each workshop may be registered individually as it becomes available.

Cancellation & Refund Window

Cancellation requests received at least 24 hours before the scheduled workshop start time are eligible for a full refund. Requests received less than 24 hours before the scheduled start time are non-refundable.

Cancellation Procedure

Eligible cancellations may be submitted through the attendee's Humanitix order-management link or, if assistance is required, by contacting Petites Étoiles Atelier in writing. The date and time recorded by Humanitix, or received by the studio, determines refund eligibility.

Replay Access Following Late Cancellation or Absence

Registered participants receive replay access regardless of attendance or cancellation timing. This includes participants who miss the live session and participants who cancel too late to receive a refund.

Late cancellation removes eligibility for a refund; it does not remove replay access except when access is revoked under the Live Chat Conduct provisions below.

No Makeup Sessions

There is no separate live makeup class for missed attendance. Replay access serves this purpose.

Studio Cancellation

If Petites Étoiles Atelier cancels a workshop before it begins, the studio will first make reasonable efforts to reschedule it. If a reasonable rescheduled date cannot be offered, registered participants will receive a full refund.

If a workshop is materially interrupted after it begins because of circumstances within the studio's control, the studio will determine an appropriate rescheduled session, replacement recording, refund, or credit based on the portion affected.

Studio Technical Issues

A brief interruption, temporary loss of connection, or other minor technical issue that does not materially prevent delivery of the workshop does not create refund eligibility.

If a major failure of the hosting platform or studio broadcast setup materially prevents delivery, Petites Étoiles Atelier will first attempt to reschedule the session. If rescheduling is not reasonably possible, participants will receive a refund or an agreed studio credit.

Participant Technical Issues

Internet connectivity issues, device problems, or other technical difficulties on the participant's end do not create refund eligibility. Replay access remains available.

Cameras & Microphones

Participant cameras and microphones remain off by default. The studio will explicitly state if this changes for a specific session; participants should not assume camera or microphone use is expected or required.

Live Chat Conduct

Questions and comments submitted through live chat must remain respectful, age-appropriate, and suitable for a general audience. Disruptive or inappropriate participation may result in removal from the live session.

A participant removed for violating these conduct requirements is not entitled to a refund. Replay access may also be revoked when reasonably necessary because of serious or repeated misconduct.

Artwork Submissions & Feedback

Questions during the live session are handled through chat. Artwork feedback is handled through the studio's designated submission method. Submission does not guarantee immediate feedback during the live session.

Artwork submitted for instructional feedback remains the student's property and will not be used for studio marketing or public display solely because it was submitted for feedback. Separate use remains subject to applicable artwork and media permissions.

Recording & Replay Use

Petites Étoiles Atelier records each workshop to provide replay access to registered participants. Participants may not record, redistribute, repost, sell, or otherwise publicly share the replay.

Display names, chat content, or other information entered into the workshop platform may be visible to the instructor and, depending on platform settings, may appear in the recording. Participants should not submit private or sensitive information through live chat.

Individual Access

Registration and replay access are for the registered participant only. Access links may not be shared with unregistered individuals or used for group access unless Petites Étoiles Atelier has expressly authorized it.

Replay Availability

Replay access is included with registration and is intended to remain available on an ongoing basis. Petites Étoiles Atelier may migrate the replay to another hosting platform or replace the access link as necessary.

Intellectual Property

Instructional materials, demonstrations, handouts, and workshop recordings remain the intellectual property of Petites Étoiles Atelier and/or their respective creators.

Registration grants the participant a limited, non-transferable license to use provided instructional materials for personal educational use only. Materials may not be reproduced, distributed, resold, or republished without permission. Students retain ownership of original artwork they personally create during a workshop.

Fan Art & Original Characters

Students may work from the Starlight Archivist, their own original characters, or fan art of existing characters. Participation does not grant commercial rights to third-party copyrighted characters.

Registration Transfers

Registrations may be transferred to another eligible participant before the scheduled workshop with prior approval from Petites Étoiles Atelier. The replacement participant must provide required registration information before attending.

Transfers are not permitted after the workshop begins or after replay access has been issued.

Minors

Registration of a participant under 18 must be completed or authorized by a parent or legal guardian. The parent or guardian is responsible for ensuring the participant complies with these participation terms.

Age & General Audience

This workshop is conducted as an all-ages, general-audience program in both language and content, including sessions where adult participants are present.

Governing Law

This policy is governed by the laws of the State of Alabama, and any disputes arising from it will be resolved in Madison County, Alabama.
